Session 1: September 1 (mandatory, yes auto-order)
Session 2: December 1 (mandatory, yes auto-order)
Session 3: March 1 (mandatory, yes auto-order)
Session 4: June 1 (optional, no auto-order)
Workflow
STEP 1: PRODUCTS
1.) Create any new products required (new pricing request from Chadd)
2.) Request from TLE and add descriptions to new products
3.) Make sure student/teacher kit inventory has been added for products (new and existing)
4.) Make sure all enrichment teacher manuals stock setting is enabled to allow backorder
Allow Order if product out of stock? - TURN ON
STEP 2: RULES
1.) Update rules document
2.) Send the rules to TLE for approval
3.) Follow up until we have final written approval for that session rules.
4.) Update the backend with the approved rules
STEP 3: SURVEY
1.) Download survey from TLE of enrichment program sign-ups
2.) Assign user group permissions according to sign-ups
STEP 4: TEACHER MANUALS
1.) Download MicroStrategy report (from email)
2.) Use the template (..........) to identify counts for teacher manuals
3.) Add to Konica Monday board 1 task per artwork/grade level with print quantity
4.) Add the print quantity into inventory on the backend (allow back-order)
STEP 5: RUN AUTO-ORDERS
1.) Click unpaid orders, filter with "Enrichment", export excel file, send to Meghan, delete all old enrichment unpaid orders. Save in Google Drive with the following main file path...
Google Drive > Shared drives > Design > TLE > _WM Misc > Reports > Unpaid Order Reports > Enrichment
Make new folder name (Example: 2020-2021 Session 2 Final) then save file
2.) Download MicroStrategy report (from email)
3.) Clean up original data into upload template (separate per kit per survey)
4.) Review template - check total amount of orders, total amount of centers, total amount per kit
5.) Make all session enrichment products LIVE by turning status ON (student kits, teacher kits, all teacher manuals, cd, categories)
6.) Upload template and review the preview of orders
7.) Prior to confirmation preview the orders and look for any potential issues
8.) If preview looks good then click submit
9.) Go back and create spreadsheet with final order numbers to confirm all orders have been generated
STEP 6: UK
1.) Request from Meghan decision on UK program selection and if new files will be provided for unique UK version of teacher manuals
2.) Process UK enrichment order
Order Submission
STEP 1: IMPORT ORDER FILE CREATION
1.) Use MicroStrageies report emailed to every morning to WM located:
"Design > TLE > Automatic Ordering > _MicroStrategy-Daily Downloads > Month > Day"
2.) Use TLE Monthly Curriculum AO Template.xslx to generate IMPORT FILE located: "Design > TLE > Automatic Ordering"
3.) Manually update on the Rule/Exception for Ohio schools that Infant C= Toddler for Ohio only
4.) Remove all invalids (ie: Unused Classrooms)
- Remove all exempt centers from the import file (Download current report of non-opt in)
- Remove all School Age rows from the import file
- Add any unique classroom naming (example: PS1 for Preschool) into the alias
5.) There should be 0 invalids before uploading the import file.
- Products must be live otherwise will show invalids
- Users must exist otherwise will show invalid
- Shipping address required
- Exempt status is invalid
STEP 2: UPLOAD IMPORT ORDER FILE
1.) Upload file in backend // Corporate > Import Corporate Orders
2.) Select the Enrichment for both younger and older (1 subject at a time)
3.) Check for invalids. If invalids are present, clear on upload file first and re-up till no invalids exist
4.) Spot check preview
STEP 3: RECAP REPORT ON IMPORT ORDER
1.) Download unpaid order report enrichment
2.) Download paid order report for enrichment
3.) Combine both reports and send to Meghan/Monica as confirmation that auto orders were completed for that session.
